Manager, Event Management Office
To set up and manage the office under Event Manager.
Role: The Manager, EMO ensures that the constitution for the Event Management Office (EMO) area is upheld and embodied.
Constitution: EMO works as the control center of the Event Management function. During the Event, inputs are fed into EMO and systems & procedures are in place to store, retrieve, analyze and classify data, enabling the Event Manager to take right decisions at the right time.
After the event it also supplies the Event Manager and his team with classified information to refine and improve their systems and procedures for the subsequent event.
The EMO is equipped with sophisticated tools and tackles to measure, monitor and sound alarm for the three important parameters of any project, namely Quality, Cost and Time.
EMO will communicate graphically crucial information pertaining to the status of the project.
EMO should function in such a way that it will be source of comfort for all those holding responsibility for conducting the event as a good back up support.

Develop the integrated budget and fund flow for the event by getting the budget made by different responsible teams for Event Manager to get sanction from management.
Develop integrated Seva personnel plan for the event from all teams and communicate and arrange logistics.
Develop material requirement plan for the event liaise with RVK/Ashram for procurement & storage and communicate.
Post the actual for all the above as work progresses and produce periodic (daily, Weekly, Monthly and Event) reports for the Event Manager to monitor the progress.
During the event highlight deviations instantly and after the event prepare comprehensive reports to fine tune the next event.
Custodian for all the databases of the Event Management function.
Manager, RVKs and Ashrams
To administer the RVK facilities all over India.
Role: The Manager, RVK’s/Ashrams ensures that the constitution for the RVK’s/Ashrams area is upheld and embodied.

Where Premis can be in Seva, Sathsang & Practice and enjoy life.

Manage the venue facility like accommodation of service personnel, venue electricity, venue water and cooking for service personnel and serving them etc.
The complete movement of goods for the event from one venue city to the other. These include OBV movement, audio/video equipment, filming equipment, items belonging to Security, PR, Music team, base camp items, tenting items etc.
Managing the guests coming from overseas as well as guests from different parts of India for their stay, food, travel etc.
Managing the stay, food travel and any other requirements of MET in coordination with Venue and Equip. function.
Any other requirement of the event due to the availability of infrastructure of the ashram and permanent manpower.
Any procurement that have to be made for the event and their storage.
Manager, Propagation
To manage the Propagation function
Constitution: Propagation is more than spreading the message and spreading the Knowledge. It helps people better their experience and it is a matter of enjoyment.

Those supporting propagation provide an atmosphere conducive to follow-up and ensure resources are available.
The environment is beneficial to Service, Satsang and Practice.

To plan, devise and communicate with the team propagation strategies and approach in compliance with the constitution and the Principal.
To analyze historical data and trends and secure annual targets for different regions in India, establish volume forecasting and plan for effective resource utilization and ensure increase in penetration and coverage.

Role: The Manager, Event Enhancement ensures that the constitution for the Event Enhancement area is upheld and embodied.
Constitution: An Event should not be construed in a narrow sense of the principal speaking approximately for an hour. It should be viewed as the culmination of many positive experiences starting from the day a premi/aspirant comes to know about the Event, until it peaks with the principal’s address.
In the same way, the scheduling time of the Event should not be construed in a narrow sense for that period of time, which is before and after the address. It should start way back when the premi comes to know about the Event and until the person reaches home after the event.
Each and every activity that takes place for the Event, from the first communications to the premi till the person reaches home should be carefully reviewed and analyzed for the possibility of enhancing this experience.

To set up venue and equipment.
Role: The Manager, Event Venue & Related Equip. ensures that the constitution for the Venue & Related Equip. area is upheld and embodied.
Constitution: Venue is the back bone of an event. A suitable one is one of the most important critical success factors for the event. Venue has to be convenient, safe and secured for the speaker, for the audience and also for the service people who set it up. Venue selection also should be cost effective. The choice of the venue should suit the design of the event like capacity, open air or auditorium, areas covered etc. Great care and going into minute details are prerequisites for a successful venue.
If venue is the body then equipment associated with it is the life force. The program becomes live with the impeccably working equipment. Converse is also true. Therefore proper selection, storage and maintenance before the event, proper installation, testing during the event and proper dismantling and packing after the event have to be done diligently.
The service personnel associated with the venue and equipment have to be qualified and trained. They should be adequate in number. They should have sufficient rest, nutritious food and comfortable transport facilities during event time when they are moving from one location to other.

To manage safety and security in events.
Role: The Manager, Security ensures that the constitution for the Security area is upheld and embodied.
Constitution: To enhance the experience of listening to the Principal’s address all participants namely, premies, aspirants, first time listeners, service personnel and people from other agencies should be safe, secure and comfortable.
The Principal’s safety, security and comfort are of paramount importance.
Service personnel working for the event should do the service adhering to safety and their comfort should be looked into. They should do normal working hours.
Senior citizens and people who have special needs are to be given special care and attention.
People who have come from outside India and are not familiar with the Indian conditions are to be given required attention.
Children are not allowed for an event.

Disaster management, fire prevention, precautions against fire occurrence and fire management also comes under this function.
First aid and qualified medical assistance at the venue must be available.
Managing the transport of the people who have come for the event including the vehicle parking comes under the jurisdiction of this function.
The crowd has to be managed for their orderly arrival into the venue, stay during the event and exit out of the venue.
All audience services like water outlets, toilets etc. are to be serviced efficiently; the venue has to be kept clean and tidy.
Manager, Communications
To be in charge for event communications
Role: The Manager, Communication ensures that the constitution for the Event Communication area is upheld and embodied.
Constitution: Any communication from the Event Management function, which is sensitive in nature, comes under the purview of this function. Such delicate communication has to be handled with tact and diplomacy. While dealing with the outside world such communication should not generate any controversy to the organization or to the Principal. While dealing with the Premi community such communication should not hurt the sentiments of anybody.
Any communication, which cannot be developed by common sense but needs professional help, also comes under the jurisdiction of this function. If such help has to be solicited from outside then it should be taken.
Communication should follow the general principles such as understand the audience, creativity, clarity, precise in nature etc. and should reach the audience without loosing quality.
All communication, which takes place outside the organization falls under this category. However regular business communication like dealing with suppliers, contractors, service providers etc. are excluded.

Role: The Manager, Training and R&D ensures that the constitution for the Event Training area is upheld and embodied.

It is an ongoing and a planned activity. People occupying roles are provided with necessary training to carry out their responsibilities with efficiency and expertise. There could be performance gaps and these are identified and addressed. Future needs of the organization are assessed and capable individuals are available when required.
This function empowers all the other six functions of the Event management to be abreast with the latest developments in technology and management, which will help to run their functions and conduct an effective event.

Manager, Old Area Propagation
To give continued support to Premies.
Constitution: There is a tendency among people to be led astray and get caught up in their external world forgetting that the gift of Knowledge, Satsang, and the opportunity of Service to the Master exist. Some people have been listening for a while and are premies without the Knowledge . So propagation in old areas is done to revive the relationship, renew the bond and reconnect people with Maharaji. It is to remind people that there is such a thing as Knowledge, that it should be practiced and made a priority in their life. That it is available for those who have the thirst and that it can bring them peace, clarity and tranquility. There is great joy in listening to satsang and reconnecting with the Master.
Considering this,

Constitution: Propagation assistance provides every assistance in the propagation of Maharaji’s message in India. Using technology people to listen to Maharaji’s message wherever they may be located and in their preferred language. Premies attend real events with Maharaji wherever they are in the world through virtual events. Propagation assistance explores the use of virtual technology and virtual media for propagation to account for a greater audience through quick, economical, measurable, convenient and easy accessible means. It is possible through Live streaming media .This is the transmission over the Internet of video of an event as it happens. Translation of videos and audio cassettes into different languages is made readily available. Periodicals are available in different languages for propagation.

To give necessary equipment support
Constitution: For propagation to be successful, sustainable and effective there is a need for various equipment and materials which need to safeguarded. Propagation assistance equipment area is created to explore
The use current and emerging technological and electronic devices to increase efficiency and speed, make cost effective, with ease of deployment and operation
Provide for regular repair and maintenance
Provide knowledgeable and competent people in their usage
Have resources which are easily obtainable
Maintain records of all equipment
Role: To ensure that the constitution for the Propagation assistance equipment area is upheld and embodied.
Responsibilities:
To work closely with propagation assistance area to identify & understand requirements, plan, procure and build resources for propagation in a cost effective manner.
Working with vendors and suppliers for procurement if needed, looking into drawing up annual maintenance contracts where needed, obtaining necessary permissions where necessary, safeguarding and supervising materials, using warranty schedules, maintaining inventories, safe storing and looking into the channels of safe distribution and handling of equipment and materials.
Managing e-waste and its planned disposal.
To construct standard operating manuals [SOPs] for the PA Equipment function and sub processes with associated checklists, tools, process flow maps and ensure these are applied by the team.
To identify and build a team of suitably qualified and knowledgeable individuals for propagation assistance equipment with clearly defined roles and responsibilities.
To assist the Manager, Propagation to establish a robust communication strategy through regular team meetings, conversations and conferencing.
To ensure the team is adequately trained with refresher trainings at planned intervals in all procedures, standards to be followed for handling of equipment and materials.
To set annual performance targets for the team, gain their commitment and conduct one to ones, quarterly, half yearly and annual performance reviews through frequent and timely feedback as prescribed in the Performance management system.
To assist with and set up a management information system of reporting and maintain necessary up to date documentation and records pertaining to the PA function as per agreed schedule.
To be vigilant and observant and look to bring about resolution of issues and concerns being raised by team, reengineer and improve existing processes to make them more robust and efficient.
To liaise, support and work in collaboration with other functions particularly the propagation assistance team and Revenue team regularly communicating and exchanging accurate and relevant information, data and providing timely updates on an ongoing basis.
To liaise, establish and maintain an ongoing dialogue with shared services eg. IT, HRL&D and Communication for the regular exchange of relevant information and services.

Managers, New Premi follow up
To support new premies to strengthen the bond
Constitution: Propagation does not end with receiving Knowledge. The path to finding peace within requires making a commitment to Knowledge and there are many distractions along the way. There is a possibility that new premies may waver in their practice of Knowledge as this requires dedicated effort and time and they may even abandon it altogether. So, it is critical at this stage of their journey that their commitment to practicing Knowledge everyday is strengthened and they stay inspired and connected. The relationship between the Premie and the Master is still fragile and the bond is strengthened.

To plan and put in place an effective system for follow -up with new premies and ensure this is adhered to.

Manager, Training and R&D (Propagation)
To manage the training function for propagation
Constitution: An organization is only as strong as its people. Training is a proactive process of imparting knowledge, skills, or attitudes through formal or informal means. It is an ongoing and a planned activity. People occupying roles are provided with necessary training to carry out their responsibilities with efficiency and expertise. There could be performance gaps and these are identified and addressed. Future needs of the organization are assessed and capable individuals are available when required.
For this to be possible:
Current and future training needs of people are identified and addressed
Effective structured training resources are made available on request
People apply the training given, on the job
Role: To ensure that the constitution for the Training, Research and Development is upheld and embodied.
Responsibilities:
Interact with heads and supervisors of functions to identify and assess learning needs of people in the organization.
Plan annual training calendar of suitable interventions and ensure these are utilized.
To design and develop training manuals and ensure there are resources available on time.
To deliver and administer training solutions .
Work with supervisors to identify people capable of training and put a ‘buddy’ system in place.
Maintain a training information system

SupportPaid Positions: INRs. 40,000 per month salary, Accommodation, Food and 4 weeks leave.
Service Positions: Candidate should give the second weekend (Saturday and Sunday) of every month for service. The person will be paid return airfare, airport transfer, accommodation, food and transport for work within ashram.
Terms
Positions under both categories (Paid and service) are management positions at the all India level and selected persons should own the function and deliver. Three month probation, six monthly performance reviews will apply for all selected candidates.
